The office in Cebu, Philippines is responsible for medical record processing operations -- RNs, Medical Technologists, Pharmacists and Collections Agents who work with a wide-range of medical records, creating usable databases and beautiful timelines. In addition, the Cebu office is a new tech startup office with its own challenges and opportunities -- the ones we feel are best addressed by a strong, local team.
Job Brief
We are looking for a highly-skilled and motivated Senior Medical Abstractor Team Lead to manage and guide our Senior Medical Abstractor team in performing high-level data abstraction for research studies. This role involves overseeing the daily operations of the team, ensuring the accuracy, quality, and timely delivery of abstracted data while maintaining compliance with research protocols and regulatory requirements.
As the Senior Medical Abstractor Team Lead, you will report directly to the Custom Structure Operations Manager and play a critical role in driving the team's success, optimizing workflows, and contributing to the overall efficiency of the Custom Structure process. Ultimately, you should lead by setting a good example and engage the team to achieve company goals.
Responsibilities
- Oversee the daily operations of the team, ensuring that tasks are completed on time while maintaining high accuracy standards.
- Serve as primary liaison between the Senior Medical Abstractor team and Site Management team, ensuring clear communication and alignment on objectives and performance expectations.
- Prepare and deliver regular reports on team’s performance, data quality, and program status to the Operations Manager.
- Identify trends and insights by leveraging on available data and translate findings into meaningful reports for informed decision making.
- Provide expertise and guidance on complex data interpretation and problem-solving, ensuring the team meets study objectives and requirements.
- Lead the training and onboarding of Senior Medical Abstractors, ensuring they are equipped to handle complex data abstraction tasks.
- Perform regular coaching sessions with team members recognizing strengths and develop action plans to address areas for improvement.
- Hold monthly performance evaluation in collaboration with the Operations Manager and do one-on-one reviews.
- Work with Operations Manager to define performance measurement for new or periodic assignments.
- Closely monitor the performance of team members and provide timely feedback to probationary employees including recommendation for probationary expiration or regularization.
- Recognize high performance and seek the support of Operations Manager to reward accomplishments in line with Company policy.
- Identify key performers and work with them for development opportunities.
- Manage unsatisfactory/marginal performers, undesirable employee behavior and ensure to address non-compliance to the Code of Conduct and policies according to the Company’s process for corrective action.
- Discuss and make decisions with the Operations Manager in matters involving employee discipline and other people-related concerns.
- Handle attendance and timekeeping approvals in consultation with the Operations Manager and the Senior Site Operations Manager.
- Engage and motivate the team.
- Resolve inter/intra-team conflicts.
- Change agent; adapts to evolving processes and drives continuous improvement to enhance efficiency and effectiveness
Requirements
Internal:
- Currently a regular Picnichealth employee
- Must have been working as a Clinical Research Associate for at least 3 months
- At least 95% monthly attendance adherence
- No outstanding call-outs related to non-compliance to policies (tardiness, disciplinary issues)
- Productivity and Quality - Have met their daily/monthly goals for the past three (3) months with the existing team.
- Strong leadership skills can motivate team members and make them comfortable in giving constructive feedback.
- A self starter, accountable and highly motivated.
- Expert in reviewing and interpreting medical records, with the ability to identify and extract pertinent information and navigate through various medical record formats.
- Strong communication skills with the ability to articulate questions and communicate clearly with different audiences, ensuring clarity and understanding
- Strong motivational skills, with the ability to inspire and engage the team, maintaining morale and focus even amid shifting priorities; comfortable in giving constructive feedback
